Cloud Bookkeeping & Fractional CFO
Written by Deanna R. Ngueket, CPA. Reviewed September 2026. This page is general information, not tax advice for your situation.
Most bookkeeping is done to satisfy a deadline: transactions get categorized in February so a return can be filed in April. We do it differently. Your books are maintained monthly, in the cloud, by the same firm that is responsible for your tax outcome — so the numbers are right when the decisions are being made, not reconstructed after the fact.
Bookkeeping is priced as a flat monthly fee based on your transaction volume, with payroll, setup, and catch-up work added only if you need them. The business estimator shows the monthly figure in about two minutes; if you are a sole proprietor filing on Schedule C, the individual estimator has the same bookkeeping options built in.
What this service covers
- Monthly bookkeeping — transaction categorization, bank and credit card reconciliation, and monthly financial statements (profit and loss, balance sheet, cash flow)
- Payroll for S-corporation owners and small teams, including reasonable-compensation documentation, quarterly filings, and year-end W-2s
- Contractor compliance — W-9 collection and 1099-NEC filing
- Texas sales tax registration and filing where your services are taxable
- Accounting system setup — QuickBooks Online configured for your business, with a chart of accounts built around your tax return
- Catch-up and clean-up for books that are months or years behind
- Fractional CFO work — cash flow forecasting, pricing and margin analysis, owner compensation planning, and preparation for a loan, an investor, or a sale
What is included in every monthly engagement
- A written quote and engagement letter before we start, with the monthly fee fixed for the year
- Books closed and reconciled by a set day each month, with financial statements delivered to your portal
- A QuickBooks Online subscription billed through the firm, so there is one invoice and one point of contact
- Quarterly estimated tax figures drawn from live numbers rather than last year’s return
- Year-end books that are tax-ready, so the return does not start with a clean-up bill
- Answers to your questions during the month, not only at close
Who this is for
- Digital business owners past the point where a spreadsheet works
- S-corporation owners who need payroll and reasonable compensation handled properly
- Consultants, contractors, and agencies with lumpy income and quarterly tax payments to plan around
- Owners preparing for a loan application, an investor conversation, or a sale
- Anyone whose books are behind and who wants them fixed once, then kept current
How it works
- Free 15-minute consultation. We talk through your business, your volume, and what you need from the numbers.
- Written quote. You receive a fixed monthly fee, any one-time setup or catch-up fee, and an engagement letter. Nothing starts until you approve it.
- Setup or clean-up. We connect your accounts, configure QuickBooks Online, and bring any past months current.
- Monthly close. Each month we categorize, reconcile, and deliver your statements, with a short note on anything that needs your attention.
- Tax season without the scramble. Because the books are current, your return is prepared from finished numbers.

The estimator gives you a range. Catch-up and clean-up work and fractional CFO engagements are quoted separately once we have seen your books. The exact figure comes in your written quote, and it does not change after that unless the scope does.

Frequently asked questions
Do I need bookkeeping if I am a one-person business?
You need books that are accurate and current. Whether that takes a monthly service depends on your transaction volume and how much of your own time you want to spend on it. The estimator prices the smallest tier so you can compare.
Can you work with the accounting software I already use?
Generally yes. If your current setup is not serving you, we will say so rather than working around it indefinitely.
Are my services subject to Texas sales tax?
Professional services such as consulting, bookkeeping, and tax preparation are not taxable in Texas. Some digital services, including data processing and certain software, are. We check this at setup.
What is reasonable compensation and why does it matter?
If you own an S-corporation, the IRS requires that you pay yourself a reasonable salary for the work you do before taking distributions. We set and document that figure against the IRS factors as part of payroll.
My books are two years behind. Where do I start?
With the catch-up. We quote it by the number of months behind, bring everything current, and then move you onto the monthly service so it does not happen again.
